What it actually does

Fireflies.ai sends a bot into your Zoom, Teams or Meet calls, transcribes them and files the result in a searchable library. The library is the real product. You can search across every meeting you have ever recorded for a topic, a commitment or an action item, and the AI Chat answers questions about past calls in plain language, such as what a client said about a deadline.

It also pushes summaries and action items into a CRM, with Salesforce and HubSpot supported, which is why sales and customer success teams pick it over pure transcription tools. Auto-join is reliable and needs almost no setup. G2 reviewers rate it 4.7 out of 5 across 753 reviews, and the integration coverage is broad enough to build automations around.

What it costs

The free plan gives 800 minutes of storage with limited features and is generous next to competitors. Pro is $10 per seat per month and adds unlimited transcription and CRM integrations. Business is $19 per seat per month.

The billing catch is seats. Teammates who accept an invite get billed as extra seats once the trial ends, and admins report those charges arriving as a surprise. If you roll it out by inviting a department, count the acceptances before the trial clock runs out.

The bigger cost is not on the invoice. You cannot sign in without handing over calendar access, and the bot auto-joins meetings by default. That default is what turns a note-taking tool into a consent problem.

Where it falls down

Fireflies is facing a class action, Cruz v. Fireflies.AI Corp., alleging it recorded, transcribed and stored the voices of meeting participants, including people who never signed up, in breach of Illinois' biometric privacy law. Writing for Sheppard Mullin in January 2026, Brittany Walter summarised the claim: "The complaint alleges that the Fireflies tool records, analyzes, transcribes, and stores voices of meeting participants." It is part of a wider wave of BIPA suits against AI note-takers, with Otter.ai also named. The case is an allegation and has not been decided.

Understand what the exposure actually is. Guests on your call get voiceprinted because you enabled the bot. The consent risk lands on the customer who invited them, not only on Fireflies. As Walter put it, AI note-takers "can deliver productivity gains, but they also introduce a host of potential legal and operational risks".

IT teams flag it as a compliance problem for regulated industries for a second reason: every recording and summary becomes discoverable, and privileged conversations end up stored on a third party's servers. If you work in law or healthcare, assume every transcript could be read back to you in a proceeding.

The product complaints are more ordinary. Speaker labelling breaks down in fast, multi-person conversations, so transcripts attribute statements to the wrong person, which is exactly the failure that makes a meeting record useless as evidence of who agreed to what. Accuracy varies with accents. Transcripts can take 10 to 15 minutes to appear after longer calls, so it is not a real-time tool. Advanced features sit behind Pro.

A 4.7 on G2 and a 2.5 from us is not a contradiction. G2 reviewers are scoring a note-taker that works. We are scoring a purchase, and the purchase carries a live biometric privacy case and a default setting that records people who never agreed to it.

Who should buy it

Sales and customer success teams in non-regulated businesses, who run internal-heavy call schedules and want meeting history in the CRM, can buy Pro at $10 a seat. Turn auto-join off, announce recording at the top of every external call, and get consent on the record.

Do not buy it for legal, healthcare, finance or any team handling privileged or regulated conversations until the Illinois case resolves. Do not deploy it company-wide by invite unless you have counted the seats you are about to be billed for, and do not rely on it for real-time captions, because the transcript lag makes that impossible.
