What it actually does

Zapier connects roughly 7,000 apps to each other so that something happening in one causes something to happen in another. The AI layer adds a builder you can describe a workflow to in plain English, plus custom AI actions that drop ChatGPT, Claude and other models into the middle of a workflow as a step. There are also Tables, Interfaces and chatbots, which turn Zapier into a light app platform rather than just plumbing.

It is still the fastest way to make two pieces of software talk when neither vendor built an integration. The AI agents do work. The builder genuinely does let a non-developer ship something useful in an afternoon.

What it costs

Free is 100 tasks a month across five zaps with limited AI features. Pro is $20 a month, Team is $103.50 a month, and Company is $611 a month. Pro adds unlimited zaps and around 750 tasks.

Read the word "task" carefully, because it is the whole story. A task is not a workflow run. Every internal step, every filter, every retry inside a single zap consumes billable tasks, so your bill tracks the complexity and volume of what you built rather than the value it produces. A workflow with a filter, two lookups and an AI step can burn four or five tasks per trigger. AI agents and AI orchestration then sit in a separate paid package on top of a plan you are already paying for.

Where it falls down

Pricing escalation is the number one grievance and it is not subtle. Long-time users describe starting around $10 a month and ending up paying hundreds for the same basic automations, with reported cost growth of ten to seventy-five times over multi-year use. Nothing about their setup changed. The meter did.

That produces the predictable second complaint, which is that people actively migrate to n8n or Make specifically to get off the per-task meter. If a chunk of your user base is leaving over one pricing mechanic and saying so publicly, that mechanic is the product's biggest risk. Users also report that features they had get gated behind higher plans over time, which on the receiving end reads as removal rather than upgrade.

The other honest limitation: anything past simple gets technical. The natural-language builder produces a first draft, not a working multi-branch workflow with error handling. You will end up in the weeds on data mapping and conditional logic, at which point you are doing development work in a UI that charges you per step.

Public scores are strong. G2 has Zapier at 4.5 from 2,087 reviews, which we read on the page, and Capterra is cited at 4.7 from 3,048 reviews, though we picked that up secondhand from a third-party review site rather than loading Capterra directly. Both ratings cover Zapier overall rather than the AI features specifically. We found no acquisitions, lawsuits or regulatory actions. The 3.0 here is not about reliability, it is about a billing model that makes your costs unpredictable in one direction.

Who should buy it

Operations teams, startups and small businesses with a handful of low-volume automations, especially ones involving an app nobody else integrates with. If your zaps fire dozens of times a day rather than thousands, Pro at $20 is fine and you will get the time back in the first week.

Do not buy it for high-volume work. If your trigger fires thousands of times a month, or your workflows have many internal steps, price n8n or Make first and expect to save real money; self-hosting n8n removes the per-task meter entirely. Do not buy it as your data pipeline either, because you will be paying per record to move records.

And if you are already on Zapier watching your invoice climb, the answer is not a bigger plan. Count your billable steps per run, cut the ones that exist for tidiness, and get a quote from a competitor before you renew.
